Invitation Letter for UK Visa

Foreigners coming to the UK on short-term visas may have to submit an invitation letter from their respective sponsor(s) or host(s) along with their visa applications in certain scenarios. If you are going to sponsor or host someone in the UK, you will have to draft such a letter of invitation addressing the UK immigration authorities.

Drafting a fool-proof letter of invitation is crucial. Speak with our specialist team of UK immigration advisers and qualified advisers at London Immigration Lawyers on 0204 502 8582 today to understand how to write a letter of invitation that meets the strict UK visit visa requirements.

What Is an Invitation Letter for a UK Visa?

A UK visa invitation letter is a formal document drafted by the visa applicant’s sponsor or host based in the UK. The sponsor or host can be an individual as well as a UK-based company or institution. The letter must contain all relevant information about the sponsor/host (individual or organisation, as applicable), the visitor, the purpose of their visit to the UK, the length of their intended stay, and their UK accommodation arrangements among other pertinent details.

It is a crucial supporting document for a UK visit visa application in certain circumstances that:

    • Helps prove the genuineness of the foreign visitor
    • Ascertain their purpose of visiting the UK (and intention to return to their home country or leave the UK for another country once their visa validity is over), and
    • Explains how their incurred costs in the UK will be covered

While the letter of invitation cannot by itself be sufficient proof to all of the above (and you will be required to submit more evidence to support your claims made in the letter), an otherwise perfect UK visit visa application may be rejected if your letter of invitation is improper, incomplete, or factually incorrect. So, it is crucial to get the tone and content of your letter of invitation right the first time.

    Who Needs an Invitation Letter?

Foreigners coming to the UK for six months or less will need to apply for a Standard Visitor visa. You will not be required to submit a letter of invitation if you are visiting the country as a tourist or transiting through the UK, for you may not have (or need) a sponsor based in the UK in such cases for obvious reasons.

However, if someone is going to sponsor your trip, such as your family / friends based in the UK, your company / organisation for business trips, or a UK business / institution inviting you to attend events or take up permitted paid engagements (PPEs), you may need to submit a letter of invitation as received from them along with your UK visit visa application.

Who Can Issue an Invitation Letter for UK Visa Purposes?

To be eligible to issue a letter of invitation to a foreign visitor, you must fulfil the following requirements:

    • You are a UK citizen, or legally settled in the UK, or living in the country on long-term work/study visas at the time of your guest’s visit
    • You have a genuine, and verifiable, relationship with the visitor (e.g., spouse/partner, parent/child, any other family member, friend, business associate, education provider, etc.)
    • You have a legally owned or rented residence in the UK with enough available space where you can accommodate the visitor for their intended length of stay or visa validity, whichever is shorter (or are eligible to provide one if you are acting on behalf of a company or institution)
    • Have sufficient funds to cover your visitor’s expenses in the UK, if you are sponsoring them financially

You must be able to provide supporting documents to prove all of the above, such as your passport or residence permits (eVisa) to prove your identity and legal residence status in the UK, proof of relationship with the visitor, address proof, financial details, etc.

Note that the Home Office will thoroughly verify the accuracy of the information provided in your invitation letter. False or incorrect information presented in the letter may be considered as fraud or deception under the UK immigration rules, leading to a visa rejection and even affecting the applicant’s any future UK visa applications.

Immigration Rules and Requirements for an Invitation Letter

The UK immigration rules provide for two scenarios when it comes to a letter of invitation. When you are coming to the UK to visit your friends or family, a letter of invitation is not mandatory from a legal standpoint.

If you can otherwise convince the Home Office that you are a genuine visitor coming to the UK for the stated purposes, will not breach any visa conditions while in the UK including overstaying your leave, and have sufficient funds to cover your expenses in the country (including accommodation), you will not need to submit a letter of invitation as part of your Standard Visitor visa application. A strong invitation letter providing all required details will, however, help strengthen your case.

On the other hand, a formal invitation letter from a UK-based company, organisation or educational institution is mandatory if you are applying for a Standard Visitor visa to visit the UK for certain paid engagements or events.

Who Should the Invitation Letter Be Addressed to?

While an invitation letter sounds like a document that must be addressed to the invitee, i.e., the foreign national visiting the UK in this case, in reality the purpose of such a letter is to satisfy the Home Office of the genuineness of the visitor and to confirm the purpose of their visit.

Information provided in the letter such as your details as a host or your visitor’s details are indeed for the record of the respective UK embassy/consulate officials or the UK Entry Clearance Officer (ECO). So, you must address them instead while drafting the invitation letter.

What Information to Include in an Invitation Letter for a UK Visa

      Overview

What details you must mention in your letter of invitation will vary depending on the purpose of the foreign national’s visit to the UK. If your family member(s) or friend(s) are visiting you in the UK, you must provide the following details:

      • Your details as the sponsor, including your:
        • Full name
        • Date of birth
        • Legal residence or immigration status in the UK
        • UK address
        • UK contact details (including telephone number and email)
        • Occupation in the UK
      • Your visitor’s details, including their:
        • Full name
        • Date of birth
        • Nationality
        • Passport number
        • Home country address
        • Contact details (including telephone number and email)
        • Nature of relationship with you
      • Visit details, such as:
        • Dates of onward and return journeys
        • Travel itinerary
        • Purpose of visit
        • Length of intended stay
        • Accommodation details
        • Proof of finance to cover any expenses incurred in the UK

It is entirely possible that the exact travel dates or itinerary are not finalised at the time of the submission of the visa application. In such a scenario, you can provide approximate information pertaining to those points in your invitation letter.

On the other hand, an invitation letter for a PPE must be written on the UK company’s or institution’s official letterhead, signed by an authorised representative of the said company/institution, and bear an official stamp. It must mention:

      • The details of the sponsoring company/institution, such as:
        • Official name of the company or institution
        • Contact details (including telephone number and email)
        • Registration number
      • Details of the authorised signatory, such as their:
        • Name
        • Job title
        • Signature
      • Details of the invitee, such as:
        • Full name
        • Date of birth
        • Nationality
        • Passport number
        • Professional background
      • PPE details, such as:
        • Description of the professional activity the visitor is going to undertake
        • Duration
        • Confirmation that the activity will not exceed one month
        • Start and end dates of such an engagement
        • Venue
        • Details of honorarium or remuneration including payment terms

Supporting Documents to be Submitted With a Letter of Invitation

You must submit supporting evidence to prove the details provided in your letter of invitation, including (but not limited to):

      • An identification document, preferably your passport
      • Documents proving your legal residence status in the UK, such as your passport or a copy of your visa
      • Proof of your UK address (e.g., rental agreement, mortgage, utility bills, etc.)
      • Proof of funds through your recent bank statements or pay slips if you are sponsoring the trip or supporting at least part of the expenses
      • Proof of accommodation arrangements for the visitor (e.g., an approval letter from your landlord or hotel booking details)
      • Visitor’s travel itinerary (and flight tickets if already booked)
      • Event details if they are going to attend any (e.g., a wedding or graduation ceremony)
      • Detailed schedules in case of PPEs, including venues and timings, etc.

Sample Format for an Invitation Letter

The Home Office does not provide a template or offer a fixed format when it comes to a letter of invitation, given the varying nature of an individual’s visit to the UK through the Standard Visitor visa route. Based on the details you must include in your invitation letter (as discussed so far in this article), we have provided two sample letter formats here: one for a family visitor and the other for a business visitor.

All in all, your letter of invitation must be factually accurate, formal in tone, written in clear language, specific to the purpose of visit, and supported by relevant documentary evidence. An incomplete or inaccurate letter will, in fact, adversely impact the visa application.

Sample Invitation Letter for a Family Visitor Visa

We have provided below a sample format for a letter to invite your family or friends to the UK. Ensure to use and/or edit it to fit your circumstances. It is always recommended to get legal help if you are unsure, since an inappropriate letter of invitation may affect the visa decision.

Common Mistakes to Avoid When Drafting a Sponsor Letter for Relevant UK Visas

While getting the content and tone right for a letter of invitation is crucial, you must also be aware of the following common mistakes people make while drafting such a letter (so that you can avoid them while writing yours)

        • Information inconsistency between the letter of invitation and visa form
        • Vague or unclear language, especially about the purpose of visit
        • Missing signature from the sponsor or authorised signatory
        • Missing official letterhead or company stamps (for business visitors and PPE cases)
        • False or inaccurate information
        • Missing supporting documents

The thumb rule is to avoid any kind of inaccuracies or contradictions as these can undermine the credibility of your letter in the eyes of the UK immigration authorities. Provide as much information about the visit as possible, since any omissions may look suspicious.

If you are a UK company or institution inviting a business visitor, make sure you have all their pertinent information before writing the letter of invitation. The Home Office is bound to scrutinise such invitation letters rigorously, and any inconsistency will raise a red flag for your entire company / institution, especially if you are a licensed sponsor under UK work visa routes.

          How We Can Help

Writing a letter of invitation for UK visit visa purposes is apparently a simple and straightforward process. However, it is absolutely crucial to understand what information to include in your letter and how the tone must be. Plus, you must ensure the veracity of the information in your letter and attach appropriate supporting documents with the same.

Given all that, sponsors may find the process of drafting an invitation letter a bit challenging, more so because an inaccurate or inappropriate letter may harm an otherwise perfect visit visa application. If you are writing the letter on behalf of your company / institution, you have to be extra cautious as any false or misleading information in the same is bound to harm your organisational reputation.

Whether you are seeking overall advice with your letter of invitation, wondering what information to include given your visitor’s purpose of visit or immigration circumstances, or are confused what supporting documents you must enclose with your invitation letter, our specialist UK immigration lawyers can assist you.

We at London Immigration Lawyers have guided multiple sponsors, both individuals and businesses, in similar situations. Call us today on 0204 502 8582 to know more about our bespoke services and to discuss your needs.
